Tired of the same phone calls asking how much is due? Learn what members can see after logging in to the member app with their mobile number and an OTP, and how to roll it out.

A good part of the office's day goes on the same calls: "How much do I owe?", "Did last month's payment go through?", "What happened to my lift complaint?" Each answer means digging through the register. With member app OTP login, members can find this out on their own phones, and the office gets its time back.

What the member app is

The Society Keeper member app is a web app. There is nothing to install; members open it in their phone's browser. Once logged in, a member can:

  • See the current dues for their flat or house
  • See a list of all past payments
  • View the receipt for each payment
  • Raise a complaint and follow its progress

The app works in both Bangla and English, so older members can use it in whichever language they find easier.

Good to know: the member app does not take online payments yet. Members keep paying as before, in cash or by bKash, Nagad, Rocket or bank, and once the office records the payment it shows up in the app.

Why member app OTP login works well

Remembering passwords is a nuisance for many members, especially older ones. OTP (one-time password) login needs no password at all:

  1. The member opens the app and enters their mobile number
  2. A one-time code arrives by SMS
  3. They type the code and they're in

Login works only for numbers held in the association's register, so one member cannot look at another's account.

Step 1: Clean up members' mobile numbers

Everything in the member app depends on correct mobile numbers. Before launch:

  1. Check that every owner or resident in the register has a mobile number
  2. Replace old or disconnected numbers
  3. If the list is long, import houses, flats, owners and residents from an Excel file in one go

Say an association has 150 flats. If the list already sits in Excel, you can bring it in at once rather than typing each one.

Step 2: Tell your members

Send a short notice or SMS. For example:

"Dear member, you can now check your dues, payments and receipts on your phone. Open the member app link shared by the association, enter your registered mobile number and type the code you receive by SMS. You can raise complaints there too. — General Secretary"

In the first month, take a few minutes at a general meeting or gathering to show it in action. Most members manage on their own after seeing it once.

Step 3: Start taking complaints

Members can raise complaints from the member app: a water problem, a broken lift, missed waste collection. On the office side, prepare as follows.

Set up complaint categories

Group complaints into categories such as water, electricity, lift, cleaning and security. Each category can have its own time limit for resolution.

Assign responsibility

Each complaint can be assigned to a staff member. Staff can add internal notes, and photos can be attached.

Ask for feedback

Once a complaint is resolved, the member can rate how it was handled. That shows the committee which services are working and where to improve.

Common questions

  • What if a member changes their number? Update it in the office register and they can log in with the new one.
  • Can tenants use it? The register can hold both owners and residents. Decide as a committee who you will invite to use the app.
  • What if the OTP doesn't arrive? Ask the member to check the number they typed matches the one in the register, then try again after a minute or two. If it still fails, the office should confirm the number on file.
  • Could another association see our data? No. Each association's data is kept separate.
