QR Code Receipts and SMS Receipts: Proof for Every Taka Collected
Handwritten receipts get lost and can be faked. Learn how numbered QR code receipts and SMS receipts work, how members verify them, and the simple rules that make them work.

"I paid last month, I just can't find the receipt." Every association office hears this. The opposite happens too: a collector takes the money and it never reaches the books. QR code receipts, together with an SMS receipt sent the moment a payment is recorded, settle most of these disputes before they start.
This guide explains how receipts are created in Society Keeper, how members can check them, and which rules help your committee get the most out of them.
The trouble with handwritten receipts
A printed receipt book is cheap and familiar, but it has weak spots:
- Carbon copies fade, and pages get torn out
- Duplicate or skipped receipt numbers are hard to spot
- A member has no way to tell whether a receipt is genuine
- If the member loses the receipt, the only proof left is the office register
A digital receipt has its own number and is linked to the accounts, and the member holds proof as well.
Step 1: Record the payment under "Collections"
When a member pays, open "Collections" and make the entry:
- Find the flat, house or member, and their unpaid bills appear
- Choose which bills the payment covers and the amount
- Select the method: cash, bKash, Nagad, Rocket, bank or card
- For mobile or bank payments, note the transaction reference
- Save
As soon as you save, a numbered receipt is created and the amount posts to the accounts. Nobody has to copy it into a cash book afterwards.
Note: Society Keeper does not take bKash or Nagad payments itself. Members send money to the association's own number or account, and you record the payment here.
Step 2: How QR code receipts work
Every receipt carries a QR code. Anyone can scan it with a phone camera and check that the receipt is genuine, meaning it really exists in the association's records.
That means:
- A forged receipt fails the moment someone scans it
- An auditor or committee member can check any receipt in seconds
- Members can see for themselves that their payment reached the association's books
Members can also log in to the member app with their mobile number and an OTP to see their payments and receipts, so a lost paper receipt is no longer lost proof.
Step 3: Keep SMS receipts switched on
After every payment entry, an SMS receipt goes to the member's mobile. Say a collector takes ৳1,500 from a house on Road 4. As soon as the entry is saved, the owner gets a text with the amount and the receipt number.
The biggest benefit is trust in collectors. If a member pays and no SMS arrives, they will tell the office, and the problem surfaces the same day rather than at month end.
Simple rules for the committee

A sample notice for members:
"From now on, you will receive an SMS receipt on your mobile after every payment. You can scan the QR code on any receipt to verify it at any time. If you pay and do not receive an SMS, please let the association office know."
Reconcile with the daily collection report
At the end of each day, open the daily collection report. It shows how much each collector took in, how much came from each road, and the split between cash, bKash and bank. Count each collector's cash against this report before accepting it, and export the report to Excel if you want a copy on file.
