Professional associations have a particular problem with dues. Members are busy, work long hours, often live in different cities and assume someone else has already paid. Start with one clear fee schedule
Confusion about the amount is the first obstacle to smooth membership fee collection. Put the full schedule in one place and make sure every member has seen it.
A typical schedule covers:
- Admission fee: charged once when a member joins;
- Annual subscription: the main recurring fee, which can be paid in one go or in monthly instalments;
- Category rates: for example, lower rates for junior members or retired professionals;
- Special contributions: one-time amounts for a seminar, welfare fund or annual event;
- Late fee (if any): agreed in a general meeting and stated in advance.
Record the decision in the minutes. If your constitution says how fees are approved, follow that process exactly.
Offer the payment methods members actually use
A member in another district will not travel to the office to pay ৳1,500 in cash. Accept the methods your members already use every day:

Receipts are the foundation of trust. Each receipt should show the receipt number, member name and number, amount, period covered, payment method and the name of the person who received it. Numbered receipts make missing or duplicate entries easy to spot.

Separate the roles
In many associations one person collects the money, writes the receipt and enters the accounts. That puts unfair pressure on that person and makes errors hard to catch. A better split:
- Collector or office staff records the payment and issues the receipt;
- Treasurer or accountant checks the entry and posts it to the accounts;
- Committee or auditor reviews the summary each month.

Do not wait until the year-end audit. A short monthly review should answer:
- How much was collected this month, and by which method?
- Who collected it?
- Which members are overdue, and for how long?
- Do the cash in hand and bank balance match the records?
Say a professional association has 500 members paying ৳1,200 a year in monthly instalments of ৳100. As an example, the expected monthly collection is ৳50,000. If the report shows ৳38,000, the committee knows immediately that roughly 120 members are behind and can act before the gap grows.
Follow up on overdue fees politely
Group overdue members by age: a reminder for those just past the due date, a personal call for those two months behind, and a committee decision for long-standing arrears. Keep the tone respectful. These are colleagues, and most will pay once reminded clearly.
